Policies

DSA-funded students:

If you are a DSA-funded student, my contract is with the DSA, and I have to follow its policies:

  • If you need to cancel a session, please provide 24hrs notice.
  • If you are unable to provide 24hrs notice, this will be considered a late cancellation.
  • A student can have 2 late cancellations per term with DSA funding.
  • After two late cancellations, further late cancellations reduce the student’s allowance of hours.
  • If I am consistently unable to contact you, I will have to put sessions on hold and refer you back to your funding body.

University-funded students:

If you are a university-funded student, my contract is with your university, and I have to follow its policies. These will be different per university:

  • Commonly, universities do not allow late cancellations, and any cancellations come out of the student’s allowance of hours immediately.

Private students:

If we adopt a private support arrangement, we may relax those policies slightly. In this case we will follow a support agreement. A sample support agreement can be found below:

Support Agreement

This Support Agreement (“Agreement”) is entered into by and between Joe Embley Disability Tutoring, hereinafter referred to as “Tutor,” and _________________________, hereinafter referred to as “Student”. The Agreement shall commence on ______________, and shall remain in effect until terminated by either party in accordance with the terms herein.

I. Scope of Services

The Tutor agrees to provide the following services to the Student:

  • a) Individual study skills tutoring sessions focused on enhancing learning strategies and academic performance.
II. Responsibilities of the Tutor
2.1 Tutor Obligations
  • a) Provide professional and competent services in accordance with applicable standards.
  • b) Maintain confidentiality of all information disclosed by the Student during tutoring unless disclosure is required by law or with the Student’s written consent.
  • c) Foster a supportive learning environment and respect the autonomy of the Student.
  • d) Maintain appropriate professional boundaries with the Student.
III. Responsibilities of the Student
3.1 Student Obligations
  • a) Attend scheduled tutoring sessions promptly and notify the Tutor in advance of any cancellations or rescheduling requests.
  • b) Actively participate in the tutoring sessions and advise the Tutor of any concerns or changes in learning needs.
IV. Payment Terms
4.1 Fee Structure

The Student agrees to pay the Tutor a predetermined fee of £______ per hour. Payment should be made via the provided link, within one week of each session unless alternative arrangements have been made in advance.

4.2 Fee Negotiation

Please notify the Tutor if you are struggling to pay. Private study skills support sessions operate on a “pay what you can” basis, but changes to rates must be agreed upon in writing by both parties.

4.3 Cancellation and Rearrangement Policy

The Student agrees to notify the Tutor by email, phone call, or text message if it is necessary to cancel or rearrange a session. Please provide 24 hours’ notice when possible, however there is no penalty for late cancellation.

If the Student is unable to notify the Tutor and the session is not rearranged that day, the full fee for the session will be payable.

V. Confidentiality
5.1 Confidentiality Agreement

The Tutor agrees to maintain confidentiality of all information shared by the Student during the course of tutoring, except as required by law or with the Student’s written consent.

5.2 Exceptions to Confidentiality

The Student acknowledges that confidentiality cannot be guaranteed in situations where there is a risk of harm to self or others, or as otherwise required by law.

VI. Termination of Services
6.1 Termination Clause

Either party may terminate this Agreement at any time by providing written notice to the other party.

6.2 Termination by Tutor

The Tutor reserves the right to terminate services if the Student fails to comply with the terms of this Agreement or if continued tutoring is deemed not feasible.

VII. Amendments

Any changes, modifications, or amendments to this Agreement must be made in writing and signed by both parties to be valid.

VIII. Governing Law

This Agreement will be governed by the laws of the United Kingdom.

IX. Entire Agreement

This Agreement constitutes the entire understanding between the parties and supersedes all prior agreements, whether written or oral, regarding the subject matter herein.
